Automation Workflow

A sequence of automated actions triggered by a specific event or condition. For example: when a form is submitted, an automation workflow sends a WhatsApp confirmation, creates a CRM record, and adds the contact to a nurture sequence - all without human involvement. Workflows are the building blocks of any Business Automation System.

Appointment Reminder

An automated message sent to a client before a scheduled meeting or appointment. Effective reminder sequences send notifications 24 hours and 1 hour before the appointment via WhatsApp and email. Automated reminders reduce no-shows by 60-80% compared to manual follow-up.

AI Agent

Software that uses a large language model (Claude, GPT) plus tools (CRM API, calendar API, email) to autonomously plan and execute multi-step business tasks. Different from a chatbot (which only chats) and from RPA (which follows fixed scripts). The "agent" has agency to take real action, observe results, and adjust.

AI Voice Agent

Software that picks up phone calls and has a natural, two-way conversation - books appointments, qualifies leads, recovers missed calls, escalates to a human when needed. Uses Claude or GPT for reasoning, ElevenLabs for voice, Deepgram for transcription. Sub-700ms latency is the threshold below which the conversation feels human.

AI Receptionist

An AI voice agent specifically deployed to answer inbound business phone calls - greeting callers, identifying intent, routing to humans, booking appointments, taking messages. Replaces or augments a human front-desk role. Common in clinics, salons, real estate, home services.

AI Employee

Marketing term used by platforms like GoHighLevel to bundle AI features (Conversation AI, Voice AI, AI assistants) as a "suite" - the AI handles work a human employee would. Not a strictly defined technical term; useful as a buyer concept rather than an engineering concept.

Agentic AI

AI systems that plan and execute multi-step tasks autonomously, using tools to take real actions. The 2025-2026 evolution of language models from text generators to action takers. "Agency" means software has the ability to act, not just respond.

AI Hallucination

When an AI model generates information that sounds plausible but is factually wrong - made-up product features, fabricated phone numbers, incorrect dates. Hallucinations are reduced through RAG (grounding the model in your real data), tool use (verifying facts before responding), and evaluation suites (catching errors before they reach customers).

Related:RAG (Retrieval Augmented Generation)Evaluation SuitePrompt Engineering

AI Tool Use

A capability where the AI model decides to call an external function (API, database query, calculation) instead of just generating text. Required for AI agents - without tool use, the agent cannot update your CRM, send an email, or book a calendar slot.

Related:AI AgentAgentic AIAPI Integration

API Integration

A direct connection between two software systems using their official API endpoints - allowing one system to read or write data in the other in real time. Different from a webhook (one-way push) and an automation tool integration (third-party-mediated). API integrations are the gold standard for reliability in business automation.

Account-Based Marketing (ABM)

A B2B marketing strategy that targets a defined list of high-value accounts with personalized campaigns instead of broad lead generation. ABM combines sales and marketing data to surface intent signals, route the right account to the right rep, and trigger account-specific outreach. AI agents accelerate ABM by enriching account data at scale and drafting personalized first-touch in the founder voice.

AI Hallucination

When an AI model generates plausible-sounding but factually wrong output - inventing case studies, citing fake sources, or making up product specs. Hallucinations are the single biggest production risk for AI agents. The fix is grounding: the agent only answers from a verified knowledge base, with explicit rules to escalate to humans when stumped. Eval suites catch hallucinations before they reach customers.

AI Orchestration

The layer that coordinates multiple AI agents working together on a single workflow. For example: an inbound lead → enrichment agent pulls LinkedIn data → qualification agent scores it → routing agent assigns to the right rep → follow-up agent drafts the message. Orchestration handles state, retries, escalation, and observability across all of them. Frameworks: LangGraph, CrewAI, AutoGen, or custom built.

Annual Recurring Revenue (ARR)

The yearly value of all active subscription contracts a SaaS or service business holds. ARR is the standard health metric for recurring-revenue businesses. AI follow-up agents and retention workflows directly move ARR by reducing churn, increasing renewals, and expanding contracts. The 1% rule: a 1% churn improvement on a $1M ARR base is worth $10K/year in recovered revenue.

Attribution

Determining which marketing channel or touchpoint drove a conversion. Common models: first-touch (gives credit to the first interaction), last-touch (last interaction), and multi-touch (distributes credit). Without UTM tagging on every outbound link, attribution falls apart - your "Direct" traffic balloons and you cannot optimize spend. GA4 plus a multi-touch model is the 2026 default for SMBs.

Booking System

A self-serve online scheduling tool that allows prospects and clients to book appointments directly from a website or link - without back-and-forth messages. A good booking system integrates with your CRM, sends confirmation and reminder messages automatically, and syncs with your calendar. This replaces WhatsApp scheduling, which is time-consuming and prone to double-bookings.

Business Automation System (BAS)

A complete integrated system that automates the key operational and marketing functions of a business - including lead capture, follow-up, booking, client onboarding, internal task management, and reporting. Unlike individual tools, a BAS is a connected system where data flows between components automatically. Super In Tech builds and manages Business Automation Systems for Indian SMBs.

Buyer Intent

Signals that indicate a contact is ready to buy - clicking pricing pages, watching demo videos, opening multiple emails in a session, replying to outreach. Buyer intent scoring (usually inside the CRM) flags hot leads for sales follow-up before they get cold.

Related:Lead ScoringPipelineSpeed-to-Lead

Backlink

A link from another website pointing to yours. Backlinks signal authority to Google and other AI search engines. Quality matters far more than quantity: one link from a Tier-1 publisher (Forbes, HBR, industry-leading sites) outweighs 50 links from low-authority directories. Modern AI search engines also use backlinks as citation candidates - your content is more likely to be quoted by ChatGPT if it is well-linked.

Behavioral Email

An email triggered by a specific user action (or inaction) rather than a fixed schedule. Examples: a 24-hour cart-abandonment email, a 7-day-of-no-login retention email, an upgrade-prompt email after a usage threshold. AI follow-up agents personalize behavioral emails using the actual user activity, not generic templates. Conversion rates: 3-5x higher than scheduled drip emails.

Related:Drip CampaignLead NurturingEmail Sequence

BANT Qualification

A classic B2B sales qualification framework: Budget, Authority, Need, Timeline. AI qualification agents collect BANT signals from inbound leads in the first 60 seconds - asking explicit questions, parsing implicit signals from the conversation, and enriching with LinkedIn data. Lead-to-demo conversion 2-3x when BANT is captured before the sales rep talks to the prospect.

Brand Voice

The distinctive tone, vocabulary, and communication style of a business. AI agents that drift from brand voice damage trust faster than any other failure mode. Best practice: tune the AI on 50+ samples of your existing emails, posts, and call transcripts before going live, then re-tune quarterly as the brand evolves. Founder-led businesses especially need voice-matched AI - generic LLM defaults sound nothing like the founder.

Campaign

A coordinated series of marketing messages sent to a specific audience over a defined period to achieve a specific goal - such as promoting a new service, re-engaging inactive leads, or driving event registrations. Automated campaigns send the right message at the right time based on where each contact is in their journey, without manual scheduling.

CRM (Customer Relationship Management)

A centralised database that stores all information about your contacts - leads, prospects, and clients - including their interactions, deal status, notes, and communication history. A CRM replaces spreadsheets and WhatsApp groups for managing customer relationships. When integrated with automation, a CRM triggers actions based on contact behaviour and pipeline stage.

Related:PipelineContactDeal Stage

Contact

A person or business stored in your CRM. Contacts are categorised as leads (not yet engaged), prospects (in conversation), or clients (paying customers). In a well-configured BAS, every contact has a complete history of interactions, deal value, source, and current stage - accessible to the whole team in real time.

Related:CRMLeadPipeline

Conversion Rate

The percentage of contacts who move from one stage to the next - for example, the percentage of website visitors who submit a form, or the percentage of proposals sent that result in a sale. Automation improves conversion rates primarily at the top of the funnel (faster response → higher contact-to-meeting conversion) and in follow-up sequences (persistent, relevant messaging → higher meeting-to-close conversion).

Related:FunnelPipelineLead Score

Calendar Booking

The flow where a lead selects an available time slot on your team's calendar and books an appointment without back-and-forth emails. Tools: Calendly, GoHighLevel calendars, Cal.com, Google Calendar integrations. Best when integrated with your CRM so booked appointments automatically tag and route contacts.

Claude (AI Model)

A family of large language models built by Anthropic. Current generations (Claude 4.5 Sonnet, Claude 4.7 Opus as of 2026) are the production default for many AI agent deployments due to their long context windows, structured output reliability, and safety guarantees. Competitor: OpenAI GPT family.

Conversation AI

A GoHighLevel feature that uses AI to handle SMS, email, and chat conversations on behalf of your team. Replies to leads, qualifies them, books appointments. Default GHL prompts are mediocre - production deployments require custom prompt tuning and knowledge-base grounding.

Custom Field

A user-defined data field added to your CRM contact records - for example "Lead Source", "Budget Range", "Service Interest". Custom fields drive automation logic: workflows can fire differently based on what a contact has filled in. Critical for personalised follow-up.

Related:Tag (CRM)ContactPipeline

Churn Rate

The percentage of customers who cancel or stop using your product/service in a given period (typically monthly). Calculated as cancellations divided by total customers at the start of the period. Lower churn is a signal of product-market fit; reducing churn by 1 percent monthly typically increases LTV by 25-40 percent.

Related:Net Revenue Retention (NRR)Pipeline VelocityCustomer Journey

Customer Journey

The full path a customer takes from awareness to purchase to renewal/referral - mapped as discrete stages with the actions, emotions, and friction at each. Customer journey mapping informs which stages need automation, which need humans, and which need redesign.

Call Recording

Capturing audio of customer phone or voice calls for training, compliance, and AI analysis. Required by TCPA in the US (with disclosure), regulated under GDPR in EU, and increasingly governed by state-level laws. AI voice deployments must include opt-in language, region-aware compliance, and secure storage. Modern call analysis AI extracts sentiment, qualification signals, and follow-up actions from each recording.

Cart Abandonment

When an e-commerce shopper adds items to cart but does not complete checkout. Industry baseline: 65-75% of carts abandon. Email cart recovery captures 5-10% on average. AI conversational cart recovery (WhatsApp/SMS with contextual messaging) captures 18-32% and at higher margin because most do not need a discount. See the e-commerce AI playbook for the full conversational flow.

Chatbot

Software that holds a conversation in text. Pure chatbots generate text responses only - they cannot take action in your software. This makes them suitable for FAQ deflection and simple lead capture, but not for booking, payment processing, or CRM updates. The capability gap between chatbots and AI agents is one of the most common buying mistakes in 2026.

Click-Through Rate (CTR)

The percentage of people who see a link and click it. CTR is the primary metric for Google Ads, email subject lines, and search result rankings. Industry baseline for SERP position 3 is approximately 11% CTR. Pages ranking position 3 with under 2% CTR have a title tag or meta description problem - the page ranks but the listing does not get clicked. Rewriting titles alone can 5-10x clicks without rank improvement.

Related:SEOTitle TagSearch Console

Cold Email

Unsolicited email outreach to a prospect with no prior relationship. Modern cold email requires signal-based personalization - referencing a specific recent action (funding round, job change, product launch) the prospect actually took. Generic mass cold email is dead in 2026: spam filters block it and recipients ignore it. AI agents handle the signal extraction and first-draft writing while humans approve and send.

Compliance (TCPA, GDPR, HIPAA)

Legal frameworks governing how businesses contact customers and handle their data. TCPA (US): voice and SMS marketing requires explicit opt-in plus opt-out. GDPR (EU): broad consumer data rights, breach reporting, right to deletion. HIPAA (US healthcare): PHI handling with BAA agreements required for any vendor that touches patient data. AI deployments must build compliance into the prompt layer, not retrofit after launch.

Related:Call RecordingPrivacyVoice AI

Contact Score

A numerical value assigned to each contact based on engagement and fit signals. Higher score = more sales-ready. Modern AI agents calculate contact scores in real time using behavioral data (email opens, page views, form fills) and demographic data (job title, company size, industry). Routes high-score contacts directly to senior reps, low-score contacts to nurture sequences. Lead conversion 2-3x when scoring is properly tuned.

Related:Lead ScoreBehavioral EmailSegmentation

Conversation Design

The discipline of designing how AI agents (chat, voice, WhatsApp) talk to users. Good conversation design handles opening, qualification, edge cases, escalation, and closing - all without sounding robotic. Bad conversation design over-promises, under-qualifies, or breaks at interruption. The difference between 15% conversion and 40% conversion in voice AI is almost entirely conversation design, not the underlying LLM.

Conversational Commerce

Commerce conducted via messaging apps (WhatsApp, Messenger, SMS) instead of traditional e-commerce checkouts. In India, LATAM, and Southeast Asia, conversational commerce often outperforms web checkouts for SMBs - customers complete purchase via WhatsApp conversation with an AI agent. Requires WhatsApp Business API, AI conversation flow, payment integration (Razorpay, Stripe), and CRM sync.

Customer Acquisition Cost (CAC)

The total cost of acquiring one paying customer - including ad spend, sales rep time, marketing tools, and content. Healthy SaaS CAC is recovered in under 12 months from customer lifetime value (LTV/CAC ratio of 3:1 or better). AI agents reduce CAC primarily by removing sales rep time from low-fit prospects, increasing demo-to-close conversion, and shrinking sales cycle through faster speed-to-lead.

Deal Stage

A defined step in your sales pipeline that represents where a prospect is in the buying process - for example: New Lead → Contacted → Proposal Sent → Negotiation → Closed Won. Deal stages enable pipeline visibility and trigger automatic actions as contacts move forward. Moving a deal to "Proposal Sent" can automatically start a follow-up sequence.

Drip Campaign

A pre-written series of messages - typically email, SMS, or WhatsApp - sent to contacts over time at defined intervals. A drip campaign "drips" relevant content to keep your business top of mind without manual effort. Example: a 10-email sequence sent over 30 days to leads who downloaded a resource but have not booked a call.

Deepgram

A speech-to-text (STT) API service. Industry-leading latency for streaming transcription (under 200ms), which is what makes sub-700ms total voice agent latency possible. Default STT layer in most production voice AI deployments in 2026.

Related:Speech-to-Text (STT)AI Voice AgentVoice Latency

Data Pipeline

The infrastructure that moves data from sources (CRM, website, ad platforms, support tools) into a unified destination (BigQuery, Snowflake, dbt) for analysis. Healthy data pipelines are the foundation of AI agent deployments - dirty data in produces dirty AI behavior out. Most failed AI projects we have inherited had clean technical implementations but broken data pipelines feeding them.

Related:BigQueryETLData Hygiene

Decision Maker

In B2B sales, the person with final authority to approve a purchase. Different from a champion (internal advocate) or influencer (input but not approval). AI qualification agents identify decision makers in the first conversation via explicit questions ("Who else would be involved?") and implicit signals (title, LinkedIn relationships). Deals that bypass decision-maker confirmation churn 3-5x in late-stage pipeline.

Related:BANT QualificationPipelineAccount-Based Marketing

Demand Generation

Marketing activities that create awareness and interest in a product among net-new prospects (vs. lead generation which captures existing intent). Demand gen includes content marketing, thought leadership, podcast sponsorships, brand campaigns. AI agents accelerate demand gen by drafting content at founder voice scale and by extracting demand signals from inbound conversations to inform content strategy.

Related:Lead GenerationContent MarketingBrand Voice

Demo Booked

The conversion event where an inbound prospect schedules a sales call with a real human rep. Demo booked is the highest-value lead event for most B2B SaaS - it indicates strong intent and committed time. AI qualification agents move the demo-booked rate from a baseline of 12-22% to 28-45% by responding within 60 seconds, asking the right qualifying questions, and offering specific calendar slots.

Discovery Call

The first qualifying conversation between a B2B sales rep and a prospect - typically 30-45 minutes. Discovery covers pain points, current-state mapping, gap quantification, decision process, and budget. AI agents handle pre-discovery qualification so reps only do discovery with qualified prospects, plus AI handles post-discovery follow-up drafting using the call transcript. Coaches and consultants benefit massively from this pattern.

Drift (in AI)

When an AI agent's behavior changes over time - usually getting worse - due to LLM model updates, prompt subtle changes, or shifting user data. Drift is silent: the agent does not announce it is performing badly. Detection requires monthly eval-suite runs against a baseline test set. Mitigation: periodic prompt re-tuning and quarterly re-grounding. The agencies that catch drift fast keep accuracy high; the ones that do not lose customers.

Email Sequence

A series of automated emails sent to a contact based on time elapsed or specific actions they take. Unlike a newsletter (one message to all), an email sequence is triggered for each individual and personalised based on their behaviour. Sequences can welcome new clients, nurture cold leads, follow up on proposals, and onboard new users.

Evaluation Suite

A set of test cases used to measure whether an AI agent is working correctly. Each test feeds the agent a real-world input and checks whether the output meets quality criteria. Production-grade AI deployments run their eval suite on every prompt change to catch regressions.

Email Deliverability

The percentage of sent emails that actually land in the recipient inbox (vs spam or quarantine). Healthy SMB deliverability is above 95%. Common destroyers: poor sender reputation, missing SPF/DKIM/DMARC records, sending from a domain too new, no warmup period for cold-email campaigns. AI follow-up agents do not fix deliverability - dedicated infrastructure (Smartlead, Instantly) plus 30-day domain warmup does.

Related:SPF/DKIM/DMARCCold EmailDomain Reputation

Engagement Rate

In GA4, the percentage of sessions where the user spent over 10 seconds, viewed multiple pages, or triggered a conversion event. Higher engagement rate = higher-quality traffic. Bot traffic crashes engagement to near zero. Real users from organic search typically engage at 50%+. If a channel shows under 30% engagement, suspect bot traffic, broken UTM, or low-intent visitors.

Related:Bot TrafficGA4Bounce Rate

Event Tracking

Recording specific user actions (clicks, form submits, button clicks, video plays) in analytics tools. Modern GA4 tracking uses events for everything - there is no "pageview vs event" distinction anymore. Marking specific events as "key events" turns them into conversions for reporting. Without proper event tracking, you cannot measure outcomes - every optimization question ends with "but we do not know if they converted."

Funnel

The complete journey a prospect takes from first awareness to becoming a paying client. The "funnel" metaphor reflects how the number of people at each stage narrows: many visitors at the top, fewer leads, fewer prospects, fewer paying clients. A well-designed funnel has automation at every stage - lead capture, nurture, booking, and conversion - to maximise the number of people who make it through each step.

Funnel Stage

A specific phase in your customer journey, mapped as discrete steps in your CRM pipeline. Typical SaaS funnel stages: Lead → MQL → SQL → Demo Booked → Demo Held → Proposal Sent → Closed Won/Lost. Each stage has entry criteria, exit criteria, and typical duration.

First Response Time

The time between an inbound lead arriving and the first human (or AI) response. Industry data: 78% of buyers pick the first vendor that responds. Pre-AI baseline: 4-6 hours average. With AI: 8-15 seconds. The difference is roughly 3-5x in demo-booked conversion rate. First response time is the single highest-leverage SMB sales metric in 2026.

Function Calling

A capability of modern LLMs (Claude, GPT-4, Gemini) to call external tools or APIs as part of generating a response. Function calling is what makes AI agents possible - the model decides which tool to call, with which parameters, then incorporates the result into its response. Without function calling, you have a chatbot. With it, you have an agent.

Inbound Lead

A lead who initiates contact with your business - submits a form, calls your number, replies to an email, opens a WhatsApp chat. Higher intent than outbound (where you reach out to them). Speed-to-lead is the single highest-leverage variable on inbound lead conversion.

Related:Outbound CampaignSpeed-to-LeadBuyer Intent

Inbox Triage

The workflow of sorting inbound emails into action categories - urgent, needs reply, FYI, junk. AI inbox agents handle 80-90% of triage automatically by parsing sender, subject, and body, then applying rules in the founder's voice. Saves 4-6 hours/week per founder. Common pattern: AI labels and drafts replies, founder reviews and sends, never auto-sends.

Quality of the knowledge base directly bounds AI accuracy - garbage in, garbage out. Best practice: knowledge base is owned by a single person, updated weekly, and the AI is re-grounded against it monthly. Vector-search retrieval (RAG) lets AI cite specific source documents instead of hallucinating.

Lead

A person or business that has shown interest in your product or service by taking a specific action - submitting a form, sending a WhatsApp message, clicking an ad, or calling your number. In a BAS, every lead is automatically captured in the CRM, tagged with source information, and entered into a follow-up sequence within minutes of enquiring.

Related:ContactLead ScorePipeline

Lead Magnet

A free resource offered in exchange for contact information - such as a checklist, guide, calculator, or template. Lead magnets attract prospects who are interested in your area of expertise but not yet ready to buy. In a BAS, a lead magnet submission triggers an automated nurture sequence to build the relationship over time.

Lead Nurturing

The process of developing relationships with leads at every stage of the funnel by providing relevant, timely information. Automated lead nurturing replaces manual follow-up - sequences send the right content based on where the lead is in their journey, how they engaged with previous messages, and how much time has passed since their last interaction.

Lead Score

A numerical value assigned to each lead based on their behaviour and profile - indicating how likely they are to convert. Points are added for actions like opening emails (+5), clicking links (+10), visiting the pricing page (+20), or booking a call (+50). High-scoring leads are prioritised for personal outreach. Lead scoring prevents wasted effort on cold contacts.

Latency (AI)

The time between user input and AI response. For voice AI, sub-700ms total turn latency is the threshold for "feels human." For chat AI, under 2 seconds. Latency budget breaks down as: speech-to-text 150-300ms + LLM inference 200-400ms + text-to-speech 100-250ms + network 50-150ms. Anything slower compounds into "this is AI" detection and conversion drops 15-25%.

Lifetime Value (LTV)

The total revenue a customer generates over their entire relationship with a business. For SaaS: monthly revenue / monthly churn. For service businesses: avg monthly retainer × avg months retained. Healthy LTV:CAC ratio is 3:1 or better. AI retention agents (proactive check-ins, churn-risk flags, upsell triggers) move LTV by reducing churn 20-40% and increasing expansion revenue.

Missed Call Recovery

An automation that triggers when a phone call is missed - typically sending an SMS, WhatsApp, or AI voice callback within 30 seconds. Recovers 35-45 percent of missed-call revenue for service businesses. The fastest single ROI win in voice AI deployments.

Model Benchmark

Testing two or more AI models head-to-head on your specific workload before locking in a vendor. Run the same inputs through Claude, GPT, Gemini and measure latency, cost, output quality, and reliability. Model-agnostic agencies always benchmark before recommending.

Multi-Step Form

A form broken into multiple screens, each asking 1-3 questions, instead of one long form. Typical multi-step forms convert 30-40 percent better than equivalent single-page forms - because each step feels low-friction. Used widely in funnel design.

Multi-Agent System

An AI system composed of multiple specialized agents that coordinate via orchestration. Different from a single "big" agent - multi-agent systems split work by role (intake agent, qualification agent, follow-up agent) so each can be tuned independently. Multi-agent systems power most genuine "AI employee" deployments. Build cost typically $25K-$250K+; for SMB workloads, single agents almost always win on cost.

Nurture Sequence

A multi-step, multi-channel automated communication sequence designed to build trust and move a lead toward a buying decision over time. A nurture sequence typically combines email, WhatsApp, and SMS over 15-60 days. It educates the prospect, addresses common objections, shares social proof, and prompts action - all without manual effort.

No-Show Rate

The percentage of booked appointments where the client does not show up. For businesses without automated reminders, no-show rates typically range from 20-40%. Automated reminder sequences (WhatsApp + email at 24 hours and 1 hour before) consistently reduce no-show rates to under 10%. For service businesses, this directly impacts revenue.

Related:Appointment ReminderBooking System

n8n Workflow

A self-hostable automation platform that connects software tools via workflows. Compared to Zapier and Make, n8n offers more flexibility for complex logic, self-hosting (data sovereignty), and lower long-term cost. Increasingly the choice for technical teams in 2026.

Net Revenue Retention (NRR)

A SaaS metric measuring how much revenue a cohort of customers generates compared to 12 months ago - including upgrades, downgrades, and churn. NRR above 100 percent means existing customers are growing your revenue without new acquisition. The strongest signal of product-market fit.

Related:Churn RateCustomer JourneyPipeline Velocity

Net Promoter Score (NPS)

A loyalty metric: customers rate "How likely are you to recommend us?" on 0-10. Promoters (9-10) minus detractors (0-6) = NPS. Healthy SMB NPS is +30 or higher; world-class is +50+. AI agents trigger NPS surveys automatically post-key-events (project completion, renewal, support resolution) and route detractor responses to humans for save attempts.

Onboarding Automation

A standardised automated sequence that every new client goes through after signing up - delivering welcome messages, access credentials, kickoff booking links, preparation instructions, and initial check-ins. Onboarding automation ensures every client has a consistent, professional first experience regardless of which team member handles them.

Outbound Campaign

Sales or marketing outreach where your team initiates contact - cold emails, cold calls, LinkedIn DMs, partnership requests. Lower intent than inbound leads but useful for breaking into new markets. Modern outbound increasingly uses AI for personalisation at scale.

Related:Inbound LeadSpeed-to-LeadCampaign

Outbound Sequence

A multi-touch outreach campaign to cold prospects across email, LinkedIn, and phone. Modern sequences are 4-6 touches over 14-21 days, with signal-based personalization on each touch. AI agents draft each touch in the rep's voice, schedule sends, and pause sequences when the prospect responds. Reply rates: 3-7% for well-tuned AI sequences, 0.5-2% for generic mass outreach.

Pipeline

A visual representation of all active deals in your CRM, organised by stage. A pipeline shows the total value of deals at each stage and helps identify where prospects are getting stuck. In a BAS, pipelines are connected to automations - moving a deal to a new stage triggers a new sequence of actions. Most businesses need 2-3 pipelines: one for sales, one for client delivery, and optionally one for recruitment or partnerships.

Related:Deal StageCRMFunnel

Pipeline Velocity

The rate at which deals move through your sales pipeline, measured as (number of opportunities x win rate x average deal size) divided by sales cycle length. Improving pipeline velocity 10 percent compounds dramatically - faster deals close means more deals close per quarter.

Related:PipelineWin RateFunnel Stage

Prompt Engineering

The discipline of writing instructions to large language models that produce reliable, consistent, high-quality outputs. Modern prompt engineering involves few-shot examples, structured output formats (JSON), tool descriptions, and evaluation against test cases.

Related:Large Language Model (LLM)Evaluation SuiteAI Hallucination

Personalization

Tailoring content (email, ad, message, voice script) to the specific recipient using their data. Modern AI personalization goes beyond {{first_name}} - it references specific recent actions, company news, role changes, mutual connections. Buyer detection of generic AI is 3-5 seconds; well-personalized AI passes for thoughtful human outreach. The single biggest lever for cold email reply rates.

Related:Cold EmailOutbound SequenceAI Agent

Pipeline Coverage

The ratio of pipeline value to quota target. Healthy B2B SaaS pipeline coverage is 3-5x quota. Below 2x = under-pipeline, will miss quarter. Above 6x = inflated pipeline with stale deals that should be pruned. AI agents accelerate healthy pipeline coverage by automating top-of-funnel and freeing reps to focus on conversion in late-stage deals.

Pricing Anchor

A reference price point that shapes how buyers perceive the actual price. Anchoring works in both B2B and B2C - showing "Enterprise: $50K+/year" before "Pro: $999/month" makes the latter feel reasonable. AI sales agents in pricing conversations naturally introduce anchors before quoting actual price ("Some clients invest $25K+/year; for your stage I would suggest starting smaller").

Production-Grade AI

AI systems with the discipline most agencies skip: eval suites with 100+ test cases, per-request cost monitoring, p50/p95/p99 latency budgets, retrieval quality metrics, rollback procedures, and weekly accuracy reviews. The difference between production-grade AI and "AI demo" is the difference between a system that survives 12 months and one that breaks in 60 days. Most failed AI deployments lack production engineering.

Reputation Management

The automated process of requesting, collecting, and responding to online reviews - primarily Google and Facebook. A reputation management system sends review request messages to clients after service delivery, tracks responses, and alerts the team to new reviews. Businesses using automated review requests average 5-8× more Google reviews than those relying on manual asks.

RAG (Retrieval Augmented Generation)

A technique where the AI model is grounded in your specific documents (knowledge base, FAQs, policies, past conversations) before answering. The model retrieves relevant content first, then generates a response based on that content. Dramatically reduces hallucinations and increases factual accuracy.

Round Robin Booking

A calendar feature where incoming bookings are distributed across multiple team members in rotation - so no single person gets overloaded. Common in sales teams where multiple AEs share inbound demo bookings.

Related:Calendar BookingBooking System

Retention

Keeping customers paying over time. The single highest-ROI metric for recurring-revenue businesses - a 5% retention improvement typically generates 25-100% profit lift. AI retention agents proactively flag churn risk (declining usage, support tickets, payment failures), trigger save sequences, and route at-risk accounts to senior CSMs. Net Revenue Retention above 110% is world-class.

Segmentation

The process of dividing your contact list into groups based on shared characteristics - such as industry, revenue range, service interest, or behaviour. Segmentation enables personalised, relevant communication at scale. A real estate agent might segment contacts into buyers, sellers, and investors - each receiving different automated sequences tailored to their needs.

SaaS Mode (GHL)

A GoHighLevel feature where agencies resell GHL to their own clients under their own brand. The agency sets pricing, configures features, and bills the client; GHL handles the underlying infrastructure. Powers a generation of agency businesses earning recurring SaaS revenue without building software.

Sales Velocity

A composite metric: (opportunities × win rate × avg deal size) / sales cycle length. Sales velocity tells you total revenue generated per unit time. AI agents typically move all four components positively: more opportunities (faster speed-to-lead), higher win rate (better qualification), larger deal size (faster route-to-decision-maker), shorter cycle (less rep time on admin).

Schema Markup

Structured data (typically JSON-LD) added to web pages to help search engines understand the content. Common types: Organization, LocalBusiness, FAQPage, Product, BreadcrumbList, Article. Schema markup helps with rich snippets (review stars, FAQ accordions, breadcrumbs) and is increasingly used by AI search engines for citation extraction. Required for serious SEO/GEO work.

Sentiment Analysis

AI-powered detection of emotional tone in text or speech - positive, neutral, negative, frustrated, urgent. Modern AI voice agents use real-time sentiment analysis to escalate to humans the moment a caller signals frustration. Customer support deployments use sentiment over time to flag accounts at churn risk. Accuracy: 85-92% for English, lower for code-switched bilingual calls.

Speech Synthesis

The technology that converts text into spoken audio. In 2026, ElevenLabs Multilingual v3 leads on quality, with Deepgram Aura, Google Cloud TTS, and Sarvam.ai as alternatives. Voice cloning lets businesses create a branded voice (e.g., the founder's voice) that AI agents use across customer interactions. Quality threshold: callers should not detect AI in the first 90 seconds.

Tag

A label applied to a contact in your CRM that categorises them by interest, behaviour, or status. Tags drive automation - when a contact is tagged as "attended-webinar," they automatically enter a post-webinar nurture sequence. Tags can be applied manually or triggered automatically by contact actions. They are one of the most powerful personalisation tools in any BAS.

Trigger

An event that initiates an automated workflow. Common triggers include: form submission, appointment booked, deal stage changed, email opened, link clicked, time elapsed, and payment received. Every automation workflow starts with a trigger. The trigger defines when the automation runs - the workflow defines what happens next.

Related:Automation WorkflowWebhookCRM

Tag (CRM)

A label attached to a contact record - "Hot Lead", "Webinar Attendee", "Customer", "Churn Risk". Tags are the simplest automation trigger and segmentation tool. Workflows fire based on tag added or removed; sequences personalise based on which tags a contact has.

UTM Tagging

Adding tracking parameters to URLs (utm_source, utm_campaign, utm_medium) so analytics can attribute the source. Without UTM tagging on outbound links (cold email, LinkedIn, WhatsApp, social), traffic shows as "Direct" or "(not set)" and attribution falls apart. Best practice: every outbound link gets a UTM. Free tools: Google Campaign URL Builder, Bitly with custom UTMs.

Voice Cloning

Training a voice synthesis model on a sample of someone's speech so the model can generate new speech in that person's voice. Modern voice cloning (ElevenLabs Instant Voice Cloning, for example) requires 1-5 minutes of training audio. Used for founder cloning, branded voice agents, and personalised content.

Voice Latency

The time between a caller finishing speaking and the AI voice agent starting to respond. Sub-700ms latency is the threshold below which conversation feels human; above 1 second feels robotic. Optimised through streaming STT, fast model inference, and parallel TTS generation.

Webhook

A method of real-time data transfer between two applications. When an event occurs in one tool (e.g., a payment is made in Razorpay), the webhook instantly sends that data to another tool (e.g., your CRM), triggering an automated action (e.g., updating the deal to "Won" and starting an onboarding sequence). Webhooks enable seamless integrations without manual data transfer.

WhatsApp Automation

The use of WhatsApp Business API to send automated, personalised messages - including lead responses, appointment confirmations, reminders, follow-ups, and review requests - at scale without manual sending. WhatsApp automation is one of the highest-ROI automations for Indian SMBs, given that WhatsApp has 95%+ open rates in India compared to 20-30% for email.

Win Rate

The percentage of proposals or quotes that result in a signed client. Win rate is one of the most important sales metrics to track in your CRM. For businesses that implement automated follow-up after proposals, win rates typically improve 15-30% within 90 days - because most deals are lost not to competitors but to inaction and slow follow-up.
