VitaeVisual is a first-of-its-kind platform connecting job seekers and athletes with employers, coaches, and recruiters through professional video resumes. Founder Shaunee Lynch had the vision and early momentum, but a fractured website, untested features pushed live, no payment flow, and no backend to manage orders. We rebuilt it into a production-ready web application that now processes real paying customers across the D.C., Virginia, and Maryland region.

The Challenge

A bold concept held back by broken execution.

The existing site had incomplete features pushed live, broken workflows, and no way to support real paying customers end-to-end.

Five distinct user types (Job Seeker, Athlete, Coach/Recruiter, Employer, Business) with different onboarding needs were being forced through a single generic flow.

No working payment infrastructure, no promo code system, and no way to offer BNPL options like Klarna or Afterpay that her audience expected.

No CRM automation, no visitor capture, no follow-up sequences, every lead had to be chased manually.

The admin side was effectively non-existent: no user management, no order tracking, no video QC workflow, and no way to assign or release finished videos to clients.

A full rebuild into a production-ready, multi-role platform.

Multi-Role Platform Architecture

Built dedicated registration flows, dashboards, and profile systems for 5 distinct user types — Job Seeker, Athlete, Coach/Recruiter, Employer, Business — each with role-specific onboarding, fields, permissions, and dashboard experiences.

Platinum Tier ($1,797) System

Designed and shipped a complete Platinum tier for Job Seekers, Athletes, and Businesses with step-by-step profile completion, progress tracking, and sport-specific questions for Athlete Platinum (position, experience, training stats, fitness metrics).

Payments — Stripe + Klarna + Afterpay + Promo Codes

Integrated Stripe with BNPL options (Klarna, Afterpay) and built a role-aware promo code system (e.g. plat100vv only works for Platinum Job Seeker + Athlete). Fixed the flow to always route through Stripe even when promos are applied, and surfaced service, method, and amount cleanly in order details.

Geo-Restricted Service Area (200+ Zip Codes)

Implemented zip code validation at registration across D.C., Virginia (Arlington, Alexandria, Fairfax, Loudoun, Prince William, Stafford) and Maryland (Baltimore, Montgomery, Prince George's, plus Southern/Western/Eastern Shore). Users outside the service area are blocked with a clear message, and region auto-detection displays their area.

Video Production & QC Pipeline

Built the full delivery pipeline: videographer uploads → QC team reviews and approves → video released to the client dashboard → client is notified → profile becomes searchable by employers. Admins can assign QC roles, upload videos directly to client profiles, and filter employer search by candidates with finished video resumes.

Admin Dashboard Overhaul

Full user + client management with create, view, edit, delete (with restore), complete Platinum profile viewing, order tracking with proper labels and service-type alignment, and backend fixes for pricing mismatches and subscription label inconsistencies.

GoHighLevel CRM Automation

Registration webhook auto-creates/updates contacts and tags "Register form submitted". Payment webhook tags "payment_success" and triggers a 1 hour → 1 day → 2 days → 3 days follow-up sequence. Layered in visitor capture, Teams calendar integration for consultations, and a phased roadmap for advanced automation.

UX, Calendly + Email Notifications

Wired Calendly across every "Book Consultation" surface, added testimonial videos on home, sample, athlete and coach/recruiter pages, fixed the camera-lens scroll animation, resolved mobile responsiveness issues, and repaired Brevo API for purchase-confirmation emails, password resets, and admin alerts on every new order.
